Exercise advanced control over who can see your work using Tome's sharing controls.

In this article we'll go over two advanced sharing options that enable you to better understand who is viewing your content or exercise more control over who can access your work: Require password to view and Require email to view.

So whether you're presenting to a select group or distributing information broadly, use these settings ensure that your presentations reach the right audience in the most secure manner possible.

Note: These features are only available on Tome Pro & Tome Enterprise plans.

How do I access these advanced sharing settings?

Both options can be found in the Share menu available in the top right while editing a tome. Note that only teammates with Full access to the tome are able to enable access and update sharing settings.

After setting the Anyone with link option to Can access you'll see toggles appear for both Require password to view and Require email to view.

Toggle the switch next to these options to turn them on or off.

Require Password to View

Enabling Require password to view will allow you to set a password to access your tome. Tomes are private by default and stored securely but we understand there are times when you want to share out the link broadly but only grant access to a select few viewers.

Upon enabling this setting, you will be prompted to set a password. After setting this password, viewers without direct access to the tome will be prompted to enter a password to view the tome.

The password can be reset at any time via the Reset button next to the toggle for Require password to view setting in the Share menu.

Require Email to View

More specifically, enabling the Require email to view will allow you to capture the email of your viewer and then associate that email with their viewing activity. Use this feature to better understand who is viewing your work and how so that you can figure out what's resonating.

Upon enabling this setting, viewers without direct access to the tome will be prompted to submit their email address to gain access to the tome.

Use this feature to track who is accessing your presentation when sharing your work broadly. Captured emails will be available in the Engagement Analytics tab along with the viewer's browsing data.

Using Both Email Requirement and Password Protection

If you enable both settings, viewers will need to submit both a password and an email address to access the tome. This double-layer security ensures that only authorized viewers can access your content and allows you to see how those viewers spent their time in your tome.

By setting up these requirements, you can control who views your presentation files, adding an extra layer of security to your important information.
